Events & Zoom Integration
The Events page manages webinars, meetups and launches: contact registration, attendance tracking, and automations that react to every stage. The Zoom connection syncs everything automatically with your meetings and webinars.
Managing events in oToK
- Create an event with a name, date and time — it becomes an entity automations can work with.
- Register contacts as attendees — manually, from an automation (the event registration action) or via Zoom sync.
- Track a status per attendee: registered, attended, no-show, waitlist, unregistered.
- Event variables ([[event.start_time]] and more) are available in automation messages — for personalized reminders.
Automations around events
The event trigger in the flow builder fires on: registration, cancellation, attendance marking, joining the waitlist — and also before or after the event starts (e.g. a reminder 24 hours before, or a thank-you an hour after).
💡 A classic combo: a "before event starts" trigger + a condition on attendee status + a WhatsApp template send = a complete automatic reminder sequence.

Connecting Zoom — setup summary
oToK connects to Zoom through a Server-to-Server OAuth app you create in your own Zoom account. The app is private to your account, and credentials are stored encrypted.
- 1In the Zoom App Marketplace choose Develop → Build App → Server-to-Server OAuth, and keep the Account ID, Client ID and Client Secret handy.
- 2From the Feature tab, copy the Secret Token (required for triggers and Auto-Sync).
- 3On the Scopes tab, add the read/write scopes for users, meetings and webinars (the full list is shown in oToK's connection dialog).
- 4In oToK, go to Tools → Integrations → Connect to Zoom, paste the four credentials and choose the Zoom host.
- 5For triggers and Auto-Sync: add an Event Subscription in Zoom using your workspace's unique webhook URL (shown on the Zoom card), and select the Meeting/Webinar events: created, started, ended, deleted, registration created.
💡 Prerequisites: admin permission in the Zoom account to create apps, and Registration enabled on meetings; webinars additionally require Zoom's webinar add-on.
Auto-Sync
Once the subscription is active, enable Auto-Sync on the Zoom card — and new Zoom events appear in oToK on their own. You can limit the sync to events whose title matches a pattern, e.g. only titles containing [oToK].
