Contacts & CRM
The Contacts page is oToK's CRM: a full profile per customer, with every field, tag, group and history item — and the foundation for campaign and automation segments.
The data model: fields, tags and groups
- System fields — name, phone (normalized to international E.164 format), email, acquisition source, UTM fields, lead score and lifecycle stage.
- Custom fields — add your own fields of any type: text, number, date, list and more.
- Tags — flexible labels; a contact can carry several tags, and a tag change can fire an automation.
- Groups — fixed collections of contacts, e.g. a campaign audience; automations can add and remove members too.
Filtering and segmentation
The filter builder lets you compose complex queries on any field — including custom fields, tags and groups — with operators like equals, contains, is empty, greater than, in list and more. The same segments are used to pick campaign audiences.
Importing contacts from CSV
Import is a five-step wizard, so even large files come in clean:
- 1Upload — drag a CSV file into the drop zone.
- 2Parsing — the system detects headers and rows.
- 3Field mapping — match each file column to an oToK field; you can create a new custom field on the spot.
- 4Options — choose how duplicates are handled, which tags and groups to apply to imported contacts, and more.
- 5Preview and confirm — review a sample and confirm. A detailed import log is created when it finishes.
💡 Phone numbers are normalized automatically using the workspace's default country — make sure it's set correctly before importing.
Working at scale
- Bulk edit — select contacts and update tags, groups or fields for all of them at once.
- Export — download contacts (and conversations) as CSV at any time.
- Blacklist — block numbers or addresses from receiving messages.
Activity timeline
Each contact's page shows a full timeline: field changes, system events, campaigns received and automations that ran on them — so it's always clear what happened and when.
Unsubscribes and the preference center
Every contact gets their own public unsubscribe page and preference center. Anyone who opts out is flagged automatically and skipped by campaigns — no manual bookkeeping needed.
